We know how much work you and your family have put into this incredible day. You’ve met the love of your life, you’ve booked all of your vendors, and now you just need someone to execute everything that you’ve planned so you can get married! That’s where we come in!

Our Packages

WEDDING MANAGEMENT
(WEDDING COORDINATION)

  • Includes: Wedding Coordination Services, summarized below, based on a 12-hour day.

    • Primary point of contact for Clients' vendors and wedding party on the day-of the wedding

    • Custom timeline based on vendor contracts and Clients' vision for the wedding day

    • Logistics management from processional to guests and from florals to dance floor

    • Styled decor and personal details placement, i.e., centerpieces, candles, signage, programs, seating chart, guest book, etc.

    Please note: Events by Madeleine requires a minimum of 3-hours prior to the Client's Event start time for set-up. Decor and personal detail set-up is subject to review to confirm if feasible during the set-up window. If additional set-up time is required, additional fees may apply.

  • Includes: (3) on-site wedding coordinators (including a Lead Wedding Manager), based on a 12-hour day

  • Includes: (3) required virtual one-on-one consultation meetings to review items pertaining to the wedding

    • Meeting 1: within 1-monh of signing the agreement

    • Meeting 2: 60-days prior to your wedding day

    • Meeting 3: 30-days prior to your wedding day

    Meetings are subject to Events by Madeleine time and date availability.

  • Includes: Digital Planning Files (hosted in Google Sheets) created by Events by Madeleine to benefit Clients in the wedding planning process.

    • Google Drive: Custom Folder for Events by Madeleine Digital Files, Vendor Contracts and Other Documents

    • Wedding Workbook: Digital Planner with templates and Q&As to ensure preparedness for the wedding day, and a custom timeline that Events by Madeleine will help create prior to the wedding day

    • Wedding Budget: Optional digital budget to utilize in preparing for your big day

    • Guest List: Optional guest list template to utilize as you prepare for who will attend the wedding

    • Research, To Dos, and Thank Yous: venue/vendor research pages, 12+ month to-do list, and gift/thank you organization

  • Includes personalized timeline based on details discussed in planning meeting(s), to be shared with vendors for wedding day. Collaboration with vendors may be required.

  • Includes: (1) hour of rehearsal coordination beginning at 5:00 PM CT or after, subject to availability.

  • Includes: Anything and everything that you could imagine you might need on your wedding day from extra bobby pins to a drop of eyelash glue for your necklace.

Services begin at $2,500.

ONE-ON-ONE MONTHLY CONSULTATIONS

  • Includes (1) one-hour virtual meeting to discuss any topics or questions you have throughout wedding planning. It’s your time, so we’ll schedule an hour and talk about whatever you would like! Meetings are subject to Events by Madeleine time and date availability.

  • We get it - wedding planning can be overwhelming. Common topics we talk about or questions we answer during this time include: timelines, budgets, building your wedding website, your registry, how to tell guests they don’t have a plus one (we’ve been there!), and everything in between.

Services begin at $150/hour.

ADD-ON SERVICES

  • If additional coordination hours are required for set-up or tear-down beyond the contracted 12-hours, additional hours will be added to the Wedding Management Package at a rate of $200/hour.

  • If additional coordinator(s) are required for set-up, tear-down, or throughout the day, additional coordinator(s) will be added to the Wedding Management Package at a rate of $100/hour for a minimum of 4 hours per coordinator.

  • If additional consultation meetings are required beyond the (3) contracted meetings, additional meetings will be added to the Wedding Management Package at a rate of $150/hour. Meetings are subject to Events by Madeleine time and date availability.

  • If Events by Madeleine attendance is required on calls or at meetings with vendors, attendance required during a venue site/tour, or required communication with vendors beyond the contracted reach-out process, additional meetings will be added to the Wedding Management Package at a rate of $150/hour. Meetings are subject to Events by Madeleine time and date availability.

  • Travel outside of a 45-mile radius from Manchester, Missouri is subject to incurring additional fees, based on the IRS guidelines. Any travel within the 45-mile radius, is included with the Wedding Management Package.

  • Travel outside of a 70-mile radius from Manchester, Missouri is subject to incurring additional fees including but not restricted to: mileage, rental vehicle, fuel, lodging, meals, incidental expenses, and airfare if applicable for the entire Events by Madeleine team.

  • Add-on to Wedding Day Management Package. Includes custom curated moodboard, custom design deck, design development + execution, aesthetic direction for all vendors directly related to design services, and the coordination of unique rentals. Please inquire here and note that you are interested in design services for a custom quote.

Our Process

  • Congratulations on your engagement! Please complete our inquiry form to reach out to Events by Madeleine with some key details. We will follow up via email with our availability, some additional information, and a link to schedule an introductory call!

  • On our introductory call, we will tell you a little more about our team, chat about your dreams and vision for the big day, and more. We may (definitely will) ask to hear about your love story!

  • We'll make it official and lock in your date with a signed contract and a deposit. After that, we will send you the custom digital planning files, and then we are ready to start planning your day!

  • After we send over those digital files, we will schedule an initial planning call to talk through your timeline. Closer the wedding day, we’ll schedule 60-day and 30-day meetings, work with your vendors to embrace your vision, and we'll never look back. We’ll work with you to master all of the details!

  • It’s time for you to be present and delegate everything to Events by Madeleine. Let’s get you married!

Frequently Asked Questions

  • Yes! This is included in the Wedding Management Package. Please note, set-up and tear down must occur during the contracted time.

  • We arrive based on the custom timeline created for you, and the number of hours that were contracted.

  • We require a 30% deposit on our packages booked more than 90-days prior to the event date. Within 90-days, we require a higher deposit.

  • Absolutely! Our travel is subject to availability and travel expenses, but we would love to be a part of your day! Please feel free to reach out using our inquiry form for a custom quote!
